Office Administrator – Frankfurt

BCS are looking for an administrator to join our team in Frankfurt on a part time (4 hours a day) basis. This role would particularly suit somebody returning to work.

The successful candidate must fluently speak both German and English, and have experience

in office administration roles, including some exposure to bookkeeping tasks.

Responsibilities will involve ensuring the smooth running of the Frankfurt office, inducting new employees and making sure existing employees can work productively and efficiency. An important activity is checking that travel and other out-of-pocket expenses are processed accurately and in accordance with policy. Other bookkeeping tasks include setting up payments and recording bank entries. The successful candidate will be an important go-between in communications between the UK Group Finance team and local compliance contacts, such as auditors, tax authorities and bankers.

The role is office based but part time, based on an expected 4 hours per day.

Frankfurt Office

Hours 10.00am to 2.00pm – Monday to Friday

Responsibilities:

 To have oversight of the running of the office (ensuring the environment is well equipped, presentable, operating efficiently and prepared for external guests)

 Responsible for day to day HR issues and payroll for the German office

 Review Travel bookings and ensure all out-of-pocket staff expenses claims comply with corporate and German tax policy

 Post purchase and expense transactions on the accounting system

 Prepare payments to suppliers and staff

 Post bank transactions and report as required

 Assist in the submission of local reporting requirements to the local auditors and tax authorities

 New starter preparation

 Act as a go-to local assistant to log and solve problems raised by employees

Dimensions of the job:

 Possess the skills and experience to support the internal BCS team where required, with the ability to develop personally and represent the German office in Group activities.

Knowledge & Experience:

 Good level of English & German language and grammar skills

 Numerate and IT literate on Excel, Outlook and Word

 Excellent organisation, prioritisation and time management skills with the ability to initiate tasks where appropriate

 Demonstrable ability to work efficiently and autonomously under pressure

Key skills / experience required:

 Good interpersonal skills, with the ability to liaise with staff at all levels

 Ability to manage a varied and often pressured & unpredictable workload

 Self-starter able to take the initiative

 Approachable, positive attitude and able to represent BCS by leaving professional and polite impression. Good level of IT proficiency – many elements of the job will be processed on BCS’s Oracle NetSuite ERP. No specific experience required by the candidate is expected to adapt quickly.
